Getting started

How do I start recording transactions?

After registering, two things must be set up first: your eWallet and Cash on Hand starting balances (Accounts page → Add Funds), and at least one fee range (Fee Settings page). The + floating button unlocks once both are done.

Why do I need to set up balances and fees before recording?

Every transaction you record immediately updates your eWallet balance and cash on hand. Without a real starting balance and fee ranges, those computations would be guesses. Storemate only lets you record once your books reflect reality.

How many transactions can I record?

The free plan includes 50 transactions every month. Paid plans raise the limit and can be paid via GCash, Maya, or bank — see pricing.

The transaction flow

What happens to my balances when I record a transaction?

Every paid transaction immediately and automatically adjusts both your eWallet balance and cash on hand, and writes an audit trail entry to your ledger:

How does Cash-In work?

The customer hands you cash; you send the amount from your eWallet. Result: eWallet goes down by the amount, cash on hand goes up by the amount + fee. The fee is always collected in cash.

How does Cash-Out work?

The customer receives cash; the amount arrives in your eWallet. Result: eWallet goes up by the amount, cash on hand goes down. If the fee is paid in cash, cash on hand decreases by the amount minus the fee; if the fee is deducted from your eWallet, the full amount leaves your cash and the fee stays in your eWallet.

How do Load, Bank Transfer, and Bills Payment work?

These three share the same flow: you enter the amount, the eWallet fee (what the provider charges you), and your fee (your charge on top). The customer pays amount + total fee in cash. Result: eWallet goes down by the amount + eWallet fee (the provider deducts both), cash on hand goes up by the amount + your fee.

Can I undo or edit a transaction?

Yes. Transactions can be edited or deleted, but both require your account password as confirmation — and every change is written to your audit ledger, so history is never silently rewritten.

Unpaid transactions

Is an unpaid transaction counted in my sales and fees?

No. Unpaid transactions do not affect any balance or income figure. They are recorded in your history as a reminder of money owed, but your eWallet balance, cash on hand, and fees earned only move when a transaction is marked paid.

Why would I record an unpaid transaction?

For tracking purposes — e.g. a customer says they'll settle later, and you don't want to forget. When they pay, mark the transaction paid (edit it) and the balances update then.

How do I mark an unpaid transaction as paid?

Edit the transaction from the Transactions page and set its payment status to Paid. The balance effects are applied at that point.

Does an unpaid transaction count against my plan's monthly limit?

Yes — every recorded transaction counts toward the monthly total, paid or not, because it occupies a row in your ledger.

Fees and income

How are fees computed?

You define fee ranges in Fee Settings (e.g. ₱0–₱1,000 → ₱5, ₱1,001–₱5,000 → ₱15). Cash-in and cash-out automatically pick the matching fee for the amount. Load, bank transfer, and bills payment use the manual eWallet fee + your fee you enter.

What if I change my fee ranges later?

New transactions use the new ranges; historical transactions keep the fee that was actually charged at the time. When you edit a transaction but don't change its amount, the historical fee is kept; changing the amount recalculates from your current ranges.

Where do I see how much I've earned?

The dashboard shows total fees earned (paid transactions only) and today's fees; the Reports page breaks fees and volumes down per type and per day.

Balances and my books

What is "cash on hand" and "capital"?

Cash on hand is your physical cash float. Together with your eWallet balance it makes up your total balance. Your dashboard keeps both in sync with every paid transaction.

What if my recorded balance doesn't match reality?

Use the Accounts page to make a balance adjustment with a reason — it writes a ledger entry so the audit trail explains the correction.

Can I track more than one eWallet?

Yes. You can add multiple eWallet accounts (GCash, Maya, etc.) and choose which wallet each transaction uses.

What is the ledger for?

Every transaction, edit, delete, fund movement, and adjustment writes an audit-trail entry with the balance before and after. It's your proof of how every peso moved.

Data and account

Is my data private?

Each account keeps its own books, visible only to you and the site administrator. See the Privacy Policy.

Can I export my data?

Yes — the Reports page exports your transactions to CSV, and customer ledgers can be viewed per customer.

Is Storemate connected to GCash or my bank?

No. Storemate is a record-keeping tool, not a bank or eWallet. Nothing moves without you recording it.
